Etobicoke Hood Cleaning Pros works under the terms set out on this page. They cover how a quote works, what access is needed, what is inside and outside the scope of a cleaning visit, payment, cancellation and liability. They are written to be read before you book rather than argued about afterwards. Last updated August 2026.
Quotes and scope
A quote follows a walk-through. The walk-through is free and carries no obligation. Quotes are issued in writing, itemise the scope, and are valid for 30 days from issue. A verbal indication given over the telephone is an estimate, not a quote, and is not binding on either party.
Scope is what the quote says. A standard exhaust cleaning visit covers the baffle filters, the canopy, the plenum, the accessible horizontal and vertical duct, and the rooftop exhaust fan and its housing. Anything not listed on the quote is not included.
Nothing is added without approval. Where a technician finds work beyond the quoted scope, it is photographed, reported and quoted. It is not carried out and invoiced afterwards. This applies to access panels, hinge kits, filter replacements and any additional canopy found on site.
Unreachable sections are reported, not hidden. Where part of the system cannot be cleaned because there is no access, that section is photographed, named on the certificate, and a quote for the access work is provided. A certificate will never imply coverage that did not happen.
Prices. The published figures, from $385 per visit for a single-hood kitchen up to ten feet and from $725 per visit for a multi-hood kitchen of two to four canopies, are starting prices for a standard system in ordinary condition. A quote for your kitchen supersedes them.
Access, site conditions and safety
The kitchen must be cold and clear. Cooking equipment shut down and cooled, food and containers removed from the line, and the area free of staff working. A crew arriving to a live kitchen cannot start, and a visit lost that way is chargeable.
Roof access must be arranged. In multi-tenant buildings across Etobicoke this usually requires the landlord's or property manager's permission. WSIB clearance and liability insurance certificates are supplied with every quote so that permission can be obtained in advance. Where roof access is refused or unavailable on the night, the rooftop portion cannot be completed and the certificate will say so.
Safe access is required. Roof hatches, ladders and walkways must be in a safe and usable condition. Where a technician judges access unsafe, work stops. That judgement is not negotiable on the night, and the reason is recorded in writing.
Utilities. Hot water, power and drainage are needed on site. Where they are unavailable, say so when booking, because it changes what can be done and how long it takes.
Pre-existing damage. Ageing ductwork, corroded panels, failed sealant, worn fan bearings and damaged roof membrane are photographed and reported. Etobicoke Hood Cleaning Pros is not responsible for pre-existing defects, and does not accept responsibility for a component that fails during normal cleaning because it had already deteriorated.
What is outside the scope
These are other trades. They are named in the report rather than quietly attempted, because attempting them would be worse than declining them.
Fire suppression servicing. Suppression nozzles are inspected for grease obstruction and reported. Servicing, recharging, recommissioning or adjusting a suppression system is licensed work for a suppression contractor.
Gas work. Equipment on a flexible connector is moved within the length of that connector. Disconnecting, reconnecting or altering gas supply is licensed work for a gas fitter.
Electrical work. Isolating a fan at an existing local switch is routine. Altering supply, replacing switches or working on a motor is licensed work for an electrician.
Structural and building work. Cutting ceiling access hatches, altering a fan curb, roofing repairs and wall or floor repairs are building trades.
Air balancing. Cleaning removes obstructions. Measuring and balancing a system requires calibrated instruments and a commissioning report from a mechanical contractor.
Payment, cancellation and liability
Payment. Invoices are issued on completion and are payable within the terms stated on the invoice. Scheduled-contract customers are invoiced per visit against the agreed schedule price. Overdue accounts may have future bookings held until the account is settled.
Cancellation. Bookings cancelled with at least 48 hours notice are rescheduled at no charge. Cancellations inside 48 hours, and visits lost because the kitchen was not accessible or not shut down, may be charged at up to the full visit price, because the window and the crew were committed.
Rescheduling by us. Where a visit has to be moved, for weather preventing safe roof work or for another reason outside reasonable control, you will be told as early as possible and the visit rebooked at no charge.
Insurance. Etobicoke Hood Cleaning Pros carries liability insurance and holds WSIB clearance, and certificates for both are supplied before work starts. Damage caused by negligence during the work is covered by that insurance.
Limits. Liability does not extend to pre-existing defects, to loss of business or profit, or to the consequences of a system that could not be fully cleaned because access was unavailable and the recommended access work was declined. Nothing in these terms limits liability where the law does not allow it to be limited.
Compliance. The certificate records work carried out to the NFPA 96 standard. It is not a guarantee of the outcome of any inspection by Toronto Fire Services, a public health inspector or an insurer, none of whom are bound by a contractor's document. The NFPA 96 page explains what the standard requires of you as the operator.
Governing law. These terms are governed by the law of the Province of Ontario. Disputes should be raised directly first, because almost all of them are resolved by looking at the photographs together.
Terms: frequently asked questions
How long is a quote valid?
Thirty days from issue. After that the system may have loaded further, which changes the hours involved, so a quote is re-confirmed rather than honoured indefinitely. Scheduled-contract prices are fixed for the term of the schedule instead.
What happens if you find extra work on the night?
It gets photographed and quoted, and it does not get done without your approval. That covers additional canopies, access panels, hinge kits and filter replacements. A low headline price followed by a longer invoice is a practice this business does not use.
What if my kitchen is not ready when the crew arrives?
The crew cannot start on a live or uncleared kitchen. Where a visit is lost for that reason the window and the crew were still committed, so it may be charged at up to the full visit price. A phone call earlier in the day almost always avoids it.
Are you responsible if my duct is already damaged?
No. Pre-existing defects are photographed and reported, and responsibility is not accepted for a component that fails during normal cleaning because it had already deteriorated. Damage genuinely caused by negligence during the work is covered by liability insurance.
Does your certificate guarantee I pass an inspection?
No, and no contractor's document can. The certificate records the work carried out to the NFPA 96 standard. An inspection also considers record keeping, suppression servicing, filter condition and how the system has been run since, none of which are within a cleaning contractor's control.
