Etobicoke Hood Cleaning Pros collects the minimum information needed to quote and carry out commercial kitchen exhaust cleaning, and does not sell, rent or trade it. This policy describes what is collected through this website and by telephone, why it is held, who can see it, how long it is kept, and how to have it deleted. Last updated August 2026.
What is collected
Through the quote form. Your name, phone number, email address, business or kitchen name, and whatever you write in the message field. Nothing on the form is collected that is not needed to prepare a quote and reach you with it.
By telephone. When you call, the same details are taken down: who you are, how to reach you, the kitchen involved, and what you need. Calls to 647-370-5780 may be logged with the number, date and duration for scheduling and follow-up.
Through the live chat widget. Where the on-page chat is enabled, the messages you send and any contact details you provide in the conversation are recorded, so a chat that turns into a quote request does not need repeating.
Automatically. Standard web server information: the pages requested, approximate location derived from the network address, the browser and device type, and the site that referred you. This is used to understand which pages are useful and is not linked to you personally.
Not collected. No payment card details are taken through this website. No financial information, government identification, health information or employee records are collected here. There is no account to create and no password to set.
Why it is held, and who can see it
Information you send is used to prepare and deliver your quote, to schedule and carry out the work, to issue the certificate and photographs afterwards, and to remind you when the next service falls due. Where you have booked work, it is also kept as part of the service record for that kitchen.
Access is limited to the people who need it: the person preparing your quote, the technicians attending your site, and the administrator handling scheduling and invoicing. Details are held in a customer relationship management system operated on behalf of this business, and the messages sent through this website are transmitted to it through a secure connection.
Information is never sold, rented or traded. It is not shared with third parties for their own marketing. The limited exceptions are the service providers who make the website and booking system work, who process information only on instruction, and any disclosure required by law or by a lawful request from an authority such as Toronto Fire Services or a court.
Where a property manager or landlord has arranged work on your behalf, the fact of the booking and the resulting certificate may be shared with them, because they commissioned it. The content of any separate conversation you have had is not.
How long it is kept, and how it is protected
Enquiries that do not become work are kept for up to two years, then deleted. Two years covers the realistic window in which a kitchen that asked for a quote comes back to book.
Records for completed work are kept for seven years. Cleaning certificates and photographs are compliance and insurance documents, and both an insurer and a fire inspector can reasonably ask about work carried out years earlier. Keeping them protects you as much as this business.
Website server logs are kept for a short period for security and troubleshooting, and are not linked to enquiry records.
This website is served entirely over HTTPS, so anything you send through the quote form is encrypted in transit. Access to the customer system is restricted to the people named above. No system is perfectly secure, and this policy does not claim otherwise. What it does commit to is not collecting information that is not needed, which is the most effective protection available.
Your choices
You can ask to see the information held about you, ask for it to be corrected, or ask for it to be deleted. Call 647-370-5780, or send the request through the form on the contact page and write "privacy request" in the message. Requests are actioned within 30 days.
Deletion has one limit worth stating plainly. Where work has been carried out, the certificate and the record of that work are kept for the seven-year period described above, because they are compliance documents that may be needed by you, by an insurer or by an inspector. Everything else associated with you can be removed on request.
Service reminders can be stopped at any time by replying to one or by calling. Stopping reminders does not cancel a booking and does not affect your service record.
This policy is governed by the law of the Province of Ontario and by Canadian federal privacy legislation applicable to commercial activity. If you are unhappy with how a request has been handled, raise it directly first, because most concerns are a misunderstanding that a phone call resolves.
This policy may be updated. The date at the top of the page shows when it last changed, and material changes will be reflected there rather than applied quietly.

You will receive your quote and reasonable follow-up about it, and if you become a customer you will get reminders when your next service falls due. You will not be added to a general marketing list, and your details are not passed to anyone else for their marketing.
Does this website use cookies?
The site itself is static HTML and does not set advertising or tracking cookies. Where the live chat widget is enabled, that widget may set a cookie so a conversation survives a page change, which is what makes chat work at all. No cookie on this site is used to build an advertising profile.
Can I ask you to delete everything about my business?
Yes, and it will be done within 30 days, with one exception. Certificates and work records for jobs actually carried out are retained for seven years as compliance and insurance documents. Enquiry details, contact records and correspondence can all be deleted.
Where is my information stored?
In a customer relationship management system operated on behalf of this business, accessible only to the people preparing quotes, attending sites and handling scheduling. It is not stored on a technician's personal device beyond what is needed to attend your job.
